Auto Enroll |

Issue:
I have tried to remove courses from the To-Do list of a participant using the method found in the Enrollment section, but the course will not come off the To-Do list.
The reason that the course cannot be removed is because the participant is in a People Group that has been assigned that particular curriculum.
To view what People Groups the participant is in, do the following:
Go to Participants, highlight the participant and click Edit. If you look at the Organization, Department and People Groups tab you can see what people groups they are in.
Next, we need to see what curriculums are assigned to the course. Go to courses, find the course and choose Curriculum from the drop down "Related" box.
Next, we need to see what People Groups are assigned to the curriculum. So, go to Curriculum, click on the curriculum then click People Grp. If you look at the People Groups in the bottom box, which shows the list of people groups that are associated with this curriculum, you should check to see if any of the People Groups assigned to the participant are in this box. If there is more than one curriculum assigned to the course, check the others as well.
So, everyone that is assigned to any People Group associated with the curriculum will have this on their To-Do list no matter what. If you don't want a particular People Group to have this curriculum, you could highlight them and click "Remove Selected People Group(s) from List."
Unfortunately, there is no way to remove a curriculum from a selected individual and not the entire People Group.

Issue:
CBLs that weren’t completed by Participants by the due
date are still on the participants To-Do list. Why?
Go
to the curriculum that the courses are in. Click AutoEnroll.
Make sure the “Retroactively enroll to a delinquent “Finish
By” date until the “Enroll on” or “Recycle”
date” checkbox is not checked because this will keep
it on their To-Do list until they have completed it no matter what
the due date is. If this is unchecked, then this curriculum may have
been manually assigned. Go to Participants, find the
participant, click Enroll CBL, find the curriculum and click
“De-Enroll” at the bottom. If they are actually
enrolled by the Auto-Enroll, it will kick back on and re-enroll them
if it’s coming from there.

Badge Scanner |
Issue:
Receive the following error when trying to upload from the scanner.

This particular user has some files that are corrupted or missing from her PC. I have pasted a link to a website below that will give you step-by-step instructions on how to fix the problem. I would recommend asking your IT representative to perform this fix. The user should NOT have to have DOS installed on her system. We have encountered this issue in the past and have been able to resolve the problem by following the steps outlined on the webpage.

You will need to get the pbatch.bat from Customer Service at NetLearning as the file may be corrupt. Please contact them for this.

Badge scanner locked up - now receive a blinking cursor.
- Make
sure the unit is turned OFF
- Remove
the battery cover
- While
holding the RED ENTER and BLUE ALPHA keys down AT THE SAME TIME,
remove and replace one battery
- Wait
for the unit to 'beep'
- Enter
the current date (push the RED ENTER key when complete)
- Enter
the current time (push the RED ENTER key when complete)
- Enter
a new password (at least 5 characters) Press the BLUE ALPHA key to
input letters.
- Confirm
the current date / time and press F1 to continue
- Press
F2 to 'select a program'
- Press
F2 to select 'INVT MGMT'
- Press
F4 to select 'no' for 'use 2 prompts'
- Press
F3 to change prompts
- Enter
application title (ex. NetLearning) Press the BLUE ALPHA key to
input letters.

Certificates |
Issue:
I would like to edit an E-Medicine course certificate. Is this possible?
Unfortunately, E-Medicine certificates cannot be edited.
Issue:
How can participants print a certificate in the Student
Interface?
In
the Student Interface, click Transcript. Contact
Hours/Credits will have a blue link, which will take them to it,
if available. If there is no blue link, then a certificate has not
been created for that course.
Note:
For information on creating certificates, please contact Customer
Service.

Citrix Issues |
Issue:
The C drive or anything else is not accessible within the
Learning Administrator.
- Log
off of LA and Citrix.
- Go
to C:\WINNT or C:\WINDOWS or search from the Start button.
- Delete
“webica.ini”.
- Reload
the LA connection for http://la.netlearning.us.
- Set
the “What access should be allowed?” radio button
to Full Access. Set the “Do you want to be asked
again?” radio button to Never ask me again for any
application.
Explanation:
A security setting was incorrect within Citrix.

Creating CBLs |

Issue:
Problems with PowerPoint-generated content and browsers on the Macintosh platform
The reason that you are experiencing issues with PowerPoint-generated content on a Mac is the fact that Microsoft office products produce quite a bit of extra code that "clutter" up the HTML pages/files. One, easy solution to this is to use a product called PPT2HTML, which can be found at http://www.rdpslides.com/pptools. This is an inexpensive add-on that producers much cleaner HTML that will provide better support to multiple browsers on different operating systems. This has helped many of our clients in the past.
Other issues can occur because of what version of PowerPoint with which the presentation was produced and what version of the browser or plug-ins the user is using. For instance, if the PowerPoint presentation was produced with PowerPoint 2003 and is viewed on a computer that has any other version, you might run into issues. This is another reason why the PPT2HTML is a good idea.
Issue:
I uploaded a CBL, but when I try to view it in the Student Interface, I get a blank white screen.
Go to Tests/Exams in the Learning Administrator. Choose the Test for this course and ensure there is NOT a blank box in the "Minimum Score % to Pass" box. If this is a survey and you don't want a minimum score, put a 0 in the box and it will work.
Issue:
I am uploading some slides that I created myself. I modify
the PowerPoint; resave as HTML, login as a participant, however the
changes don’t show.
Did
it prompt you to overwrite the file? If so, this could be a refresh
issue. Delete your temporary internet files and change an IE setting
as described below:
- Open
Internet Explorer, click Tools, Internet Options.
- On
the General Tab, click the Delete files button.
- Click
the Settings button. Make sure “Check for
newer versions of stored pages” is set to “Every
visit to the page”.
- Close
out of Internet Explorer and then reopen it. Try to view it
now.
Issue:
A CBL in the Student Interface gets hung when participants try
to click through it. They click through some of it and then can’t
click anymore.
The
text box in the PowerPoint file is covering the action buttons. The
text box needs to be resized. See below:
Issue:
After I upload a CBL to the Student Interface, there is a bar
on the left hand side when I view the CBL. How do I remove this?
- Open
PowerPoint; click Tools, Options, and then Web
Options on the General tab.
- Uncheck
the “Add slide navigation controls” box as shown
below:
Issue:
I want to add a link to a website in a PowerPoint. How do I do
this?
After
you’ve created your PowerPoint and you’re on the slide
that you’d like to put the link on, do the following:
- In
PowerPoint, go to Insert, then Hyperlink (If it’s
grayed out, you’ll need to click on a text box where you want
it to go).
- The
Insert Hyperlink box will appear. You can see at the
top “Text to display”. So, whatever you
want the participants to actually see and click on (like Click here
for link)
- Then
at the bottom, it shows the address is http://www.msn.com.
- Then,
save your PowerPoint as a web page just like normal. Before
you upload it, open it and make sure you can click on the link and
it takes you to where you want to go. That saves a lot of time
instead of uploading it, it not working, and then having to change
it, re-upload it…you get the picture. ?
Second
Part:
If
you want a new window to open when they click on the link instead of
taking them out of the Student Interface, do the following:
- After
doing the steps above (saving your PowerPoint, etc.), find the files
on your computer.
- In
the files, there will be an individual file that has the slide with
the link in it. You may just have to double click on all of
them to view them and find that particular one.
- When
you find the correct file, right click on it and choose Open with –
Notepad.
- Find
the website address and you should see something like this:
- Where
you see TARGET=”_parent”, that needs to be changed to
TARGET=”_blank”. So, just replace the word parent,
for the word blank. That means open a new web page to display
this.
- Then,
just save this page and test it out.
Issue:
I want to link a course directly to a PDF file. How?
You
can upload it like you would a CBL using “upload course
content” in Utilities. Then, point the URL in the Edit
Course screen to the PDF file. However, it will look just as it
does as a PDF. They won't be clicking from slide to slide.
They'll just scroll down and view it like a normal PDF.
Issue:
Can we put a program that is on a DVD into NetLearning? Can it be
linked somehow?
Not
really. There are a few reasons but it's primarily that the DVD is a
physical medium that doesn't lend itself to more than one person at a
time accessing it and pointing to it's actual location on the PC
can't always be guaranteed. For example:
1.
if you run it on the server, then only person can access it at a
time and it will have to stay in the DVD drive of the server.
2.
if you want to let someone 'check it out of a library' and use it on
their PC, the link to put in will be something like "d:\autorun.exe".
If there are users that have an extra hard drive, their DVD drive
would probably be "e:\" which then wouldn't be able to
access the DVD.
There
is one way that you might be able to do it:
1.
Create a course that has one page as the main course (index.htm
page). It would be the instructions on loading the DVD into their
computer and how to access the course.
2.
Have them check the DVD out from the library 3. They launch the SI,
and click on the course URL. It brings up the page done in item 1.
they see what to do and do it.
4.
After they finish, they eject the CD and then take a test on-line in
the SI on the material presented on the DVD.
Issue:
The error “Page cannot be displayed” halfway
through my CBL in the Student Interface, but when I look at the same
.htm file on my computer, it works.
The
folder is too big and there are probably files missing out of it.
This may need to be sent to Customer Service to be uploaded directly
there.
Issue:
Can I embed flash into my PowerPoint CBL?
While we do not completely support either Flash or PowerPoint here is an article on this from the makers of Flash:

It gives step by step directions on this. The two types were not made to work together, but can using this setup. Please read all the steps carefully.

Issue:
Receive the error “No class found for this course on that
date!” when trying to add a course to a transcript via Requests
in the Participants screen
Find
the course in the courses screen and click Edit. There must be an X
in the EXE File field under CBL Information (Above the URL link).
Issue:
When adding / editing a course, I can't get the course group drop down box to work.
This is a known issue in the current version of the Learning Administrator. If you will click on the NAME of the course group in the menu instead of the arrow next to it, you should be able to adjust the course group.
This issue will be fixed in a future release of the LA. Please use the workaround until the fix becomes available.
Issue:

Issue:
How do I unenroll a course from a participant?
- Go to Courses
- Highlight the course and click Enroll CBL
- Choose all participants that shouldn't be enrolled and click "remove from enrollment". Then, Apply and Close.
Note: If this course doesn't come off the participant's "To-Do" list, it is being assigned via AutoEnroll. See the AutoEnroll section for this scenario.

Import Issues |
Issue:
I receive an error message that says “File doesn’t
exist” when trying to do an import.
This
message appears because the system doesn’t know where the file
is yet. Run the import again, when you see the message, click the
mouse. It will take you to the Import Source screen. Click on the
button that looks like a magnifying glass with a folder beneath it
and browse to the import file. Select the file and click ok. The
system now knows where it is and you may continue.
Issue:
I want to put a default password for all new users in when I
import them. Then, they can go back and change it themselves.
Go
to Utilities, then the Define Source screen. Add the
field and in the Insert field, insert the password. Then, go
to the Define Target screen, highlight this field, and check
the box that says “Import only if Empty.”
Issue:
The same participant was accidentally entered in twice with 2
different Employee Numbers.
Highlight
both instances of the participant. Click Merge. (Example: If you
want 009112 to end up as 002057 – so you want to keep 002057
and do away with 009112, then you’ll click the radio button
next to 009112 with the arrow pointing to the right.)
Then,
go to Utilities and click Integrity check.
Issue:
Terminated people show as active after import.
People
must be out of the import file. If they’re in the import file,
they’ll be active.

Issue:
What are the IP addresses and ports needed to access LA and SI?
This new range is for our 'MASON' data center range:
69.32.133.64 / 26 (mask = 255.255.255.192) Block of 64 addresses
69.32.133.65 thru 69.32.133.126 (useable range)
with ports 80 (Student Interface: HTTP), 1494 (Learning Administrator: ICA/Citrix) 443 (SSL) opened.
Issue:
How can I uninstall the Learning Administrator?
Go
to Start, Control Panel. Add/Remove Programs – “The
NetLearning System”, “The Learning Administrator”,
“Citrix Web Client”. Then Delete “netlearn”
and “learnast” out of the root directory. Then
delete “Citrix” out of Program Files.

Login Issues |
Issue:
When I try to login to the Learning Administrator, I receive
the following error “Cannot Connect to Citrix Metaframe”.
If
you are going to la.netlearning.us, try going to las.netlearning.us
instead and vice versa. These websites hold the same information,
but use different port settings. If this is happening to more than 1
computer, a firewall may be blocking it. Contact the IT department
at your facility to see if they have recently changed anything or
applied any updates that could have caused this.
Issue:
I login to the Learning Administrator and it says that I need
something to open the launch.ica file.
Download
the ICA Client. There is a link on that same page.

Issue:
When I go to the Learning Administrator, login to the web
page, and click on my facility name, a dialog box with a blue bar
appears and then nothing happens.
Right
click on the box that has the facility name on it and click “Save
Target as..”. Save it to your desktop. If it looks like an
Internet Explorer page, it is trying to open with Internet Explorer.
Right click on it and choose “Open With..” and choose
Citrix. Check “Always use this for this type of program.”
Issue:
When the screen appears for the Learning Administrator that has the
drop-down box where the user’s name can be selected, an error
that says "Error in connection error 1043: invalid parameter"
is received
Delete/Reinstall
Citrix by doing the following
- Go
to Start, Control Panel, Add/Remove Programs
- Uninstall
Citrix Metaframe
- Delete
the Citrix folder out of C:/Program Files
- Go
to la.netlearning.us and click “Download the ICA Client”
- Next
through everything
Issue:
The following message appears when trying to login to the
Learning Administrator:
The
local LA is trying to update some files. Just click 'yes' and you
should be able to proceed.
Issue:
When I try to login to the Learning Administrator, I receive the
following error: ICA File not found”
-
Open
Internet Explorer, click Tools, Internet Options.
- On
the General Tab, click the Delete files button.
- Restart
the browser and you should be able to connect to Citrix
applications. To prevent further occurrences, disable or
reduce the amount of caching allowed within IE.
Explanation:
This behavior is caused by temporary internet files cache becoming
too large. When the .ICA file that is used to launch
applications from the Web interface is downloaded, the delay is too
long because the OS can’t find the file among the temporary
internet files fast enough and the above error is displayed.

NetManager |
Issue:
A system user can log into the Learning Administrator without difficulty, but cannot log into NetManager. Why?
The Manager's Interface cannot accept passwords longer than 15 characters. This is remedied in the new version, but cannot be changed in the Student Interface 1 at this time.
Issue:
How do you prevent course enrollments in NetManager for specific courses?
Edit the COURSE ABBREVIATIONS for the courses in question and put the text 'PARKED_' in front of the existing abbreviation.
Issue:
Can I use NetManager to scan in badges?
- Scan badges as normal.
- Go through all the steps you'd normally go through using pbatch.bat
- Doing this creates a file called "hand.txt" in the c:\temp folder on the user's computer.
- Open up hand.txt and copy the badge numbers out of it. Here's where things may get a little tricky, b/c hand.txt contains ALL the info off the badge. For instance, in the LA, the badge number may be "0056312." When the badge is scanned, however, and you look at it in hand.txt, it may look like this: =990000056312
- So, what you've got to do at this point is manually strip off the "extra" stuff. Using the "find & replace" feature should take care of this in most word processing programs.
- Once you've got the info "cleaned," copy it.
- In NetManager, work your way through the class setup info. On "step 5 of 6," click "Do Batch Entry."
- Paste the copied badge info into the "Batch Entries" box, then click "Match Entries." It won't work if you click only "Submit Entries;" "Match Entries" must be clicked first, then "Submit Entries."
- You're now back on "step 5 of 6" -- click the "Next Step" button.
- Click the "Finish" button and you're done.

Issue:
When I try to edit an Employee ID in the participants screen, I receive the following Error: “ID ‘ID #’ is used by Participant Last Name, Participant First Name.
This is usually caused by the participant being in the system twice.
Try this:
Set all of the filters to all. All filters must be set to all, including Type.
Then, search for the name first, and then the ID number. Do either of these show up twice?

Issue:
How do you email reports?
There is not actually a function integrated into the system that will allow you to e-mail all reports. However, if you have the full version of Adobe Acrobat installed you can actually print the report to the Adobe Distiller and it will generate a .PDF file of exactly what you see on the screen. You can then email that file to whomever you wish.
If you do not have Adobe, you will need to download a free PDF program such as CutePDF or the one below. Then, you will print as normal, but select this as your printer. Instead of printing, it will bring up a Save As box that will ask you where you want to save the document. You'll choose where and it will save in .pdf form so you can open it and email it. While we do not assist in installing the program, your IT department should be able to help you if you need this installed.

Issue:
I would like to put the cost of materials on my No Show Report. What variable do I use?

How can I change reports to print landscape layout?
Select
Generate Report, View, Close by using the Door. The
Report Destination box will appear. Check “Prompt for
Printer Setup”. Click Print, Properties,
Basics Tab, and Under Orientation, choose Landscape.
Issue:
What does NetLearning recommend on how to measure improvements
made between pre and post questions?
Although
we do not have a report that actually shows pre and post test on the
same report, we do have something similar, the Crosstab, Summary &
Stats report.
Just
do the following:
- Go
to Tests
- Highlight
the test and click “Crosstab, Summary & Stats”
under Report(s)
- The
first time you run this choose Pre-Test and your criteria –
you can then export this to Excel or print it out
- The
second time you run this, choose Post-Test and your criteria
– you can then export this to Excel or print it out as well
I
exported them out to Excel and you can see the result below:
Pre-Test
– you can see my grade for the participant “TEST2,
testing” is a 75 on the Pre-Test
Post-Test
- you can see my grade for the participant “TEST2, testing”
is a 100 on the Post-Test
Issue:
When trying to send Curriculum Assessment reports via email, receive
error “501 5.5.4 Invalid Address”
Check
for carriage returns between addresses. Replace carriage returns
with commas and it should work fine.
Issue:
Is there a way to generate a report of what participants are
enrolled in a particular course?
There
is not really a report that does this, but we can manipulate the data
to give this to us. Do the following:
- Go
to Courses , highlight the course, and click Enroll CBL
.
- If
you look at the bottom list of people – those are the people
that are currently enrolled in that course. You can see at the very
bottom it gives you a total. It will say something like “
There are _ records .”
- Now,
if you want all of these people in a file, you can highlight all of
them, right click anywhere in the blue highlighted area, and choose
Save as Selected Records... and save them as an .XLS file.
- Open
it in Excel and you’ll be able to see the data.

Schedule/Recorded Classes |

Issue:
Although I have privilege to certain organizations, when I go to Schedule Classes and click Enroll, I cannot see the participants in the bottom box that are already enrolled.
Make sure the “Strict Enforcement of Org/Dept Limits” is unchecked. This can be found in Utilities, System.
Issue:
When I go into classes and look at the times, one class time is
wrong. However, when I hit edit to change the time, it appears
correct in the edit screen.
Change
the date a couple times and re-apply it. Sometimes the schedule
classes’ screen will not update properly, so reapplying changes
will force it to update.
Issue:
Can NetLearning send cancellation notices if a class is
cancelled?
Unfortunately,
the system does not currently have this feature. Although, it is
pending as an enhancement request.

Student Interface General Issues |
Issue:
Receive a Windows script error in Internet Explorer. Looks something like “Run time error, line 192”
Clients that do not have customized sound will get a scripting error if they have this enabled in IE. Please let clients know that they need to disable this when viewing the JACHO modules if they do not have customized sound.
How to disable script and runtime errors:
You can configure Internet Explorer to ignore these script and runtime errors.
Please follow this step-by-step guide:
- Open Internet Explorer.
- Click on Tools, then on Internet Options.
- Click on the Advanced tab.
- Look for the "Disable script debugging" line and put a check mark in the box.
- Now look for the "Display a notification about every script error" line and remove the check mark in the box.
Issue:
The “My Schedule” in the Student Interface is dithered (grayed out) for all users.
In the Learning Administrator, go to Utilities, Student Interface. Make sure the option “Allow students to view classes they are scheduled to attend” is selected.

Student Interface Login Issues |
Issue:
Can’t login to the Student Interface with Employee ID.
Is
there a lowercase alpha in the Employee ID? If so, it must be
uppercase in the Learning Administrator.
Issue:
Get a different page than what normally appears or receive
“Login Failed” even though the ID is entered correctly.
Delete
your temporary Internet files.
1.
Open Internet Explorer, click
Tools, Internet Options. 2.
On the General Tab, click the Delete files
button. 3. Click the Settings
button and change the Check for newer versions of stored pages
to Every visit to the page.
 4.
Close Internet Explorer and reopen it.
Now try to login.
If
after you try to login, you still cannot, go back to Internet Options
and choose Delete Cookies (next to the Delete files) button.
Then, close Internet Explorer, reopen it, and try again.
Issue:
Users are trying to login to the Student Interface from home
and are having issues
Unfortunately,
we cannot support home users at this time as there are too many
variables that would have to be considered.
Issue:
When trying to view a course in the Student Interface, I get the following error - only on the MACs - "This presentation contains content that your browser may not be able to show properly. This presentation was optimized for more recent versions of Microsoft Internet Explorer."
PowerPoint generated files generate HTML that cause issues on the Mac OS browsers. Please try using PPT2HTML and see if this helps. You can search for this on the Internet.

Tests |

Issue:
Accidentally retired all of the questions on a test. Is there any way to get them back?
Unfortunately there is nothing that we can do for this issue. The questions will have to be added back manually to the tests. Since they are not 'deleted', just moved, we cannot do a batch restore on them.
Issue:
If I upload a course that already exists in the Learning
Administrator that is associated with a test, do I have to
re-associate it with the test?
Only
if you change the name of the course.
Issue:
A participant tried to take a test, got kicked out of the
Student Interface (test didn’t submit fully), and now it shows
that the participant didn’t take the test.
Unfortunately,
there is no way to recover that data. There are 2 options:
1)
Take it again
2)
Give them credit for the course via Requests in the Learning
Administrator Participants section
Issue:
A participant took a test from a Delmar course but forgot to
print the certificate.
The
course will need to be reassigned to that participant. Have them log
back into the Student Interface and look at course history and print
it. This is where the Feedback screen is as well. After they print
the certificate, UN-enroll them from the course.
Issue:
How can I review scores for someone who failed an Exam 3
times? I need to print this Exam and go over it with them.
Currently
the system is setup in such a way that you can only view “failed”
tests when there is a record for a passed test for a particular
individual. The only way to see a person’s failed exam is if
they pass. If you want to see an exam in a printed format and go
over this with her prior to her taking it again, run a “Question,
Answers, and Results” report in the “Tests/Exams”
menu for that exam.
Issue:
Participants answer survey questions correctly, but fail the test.
Go
to Tests/Exams, find the test and click Edit. What is the
Minimum to Score and Pass under Post Test? It should
be 0. This is because all of the survey questions are not graded and
if the system thinks they have to make a certain score, they will
always fail the survey.
Issue:
17 questions were created for a test and checked to randomly
choose 10. However, it makes everyone take all 17 questions.
Each
question must be marked as Random. To do this go to Tests,
Edit, click on each question one at a time and check the box
that says “Randomly present question on test”.
And also make sure you have the correct number of questions per test.
Issue:
Can tests be copied or assigned to more than 1 course?
Although
you can’t really issue 1 test individually to separate courses
or copy tests, you can create a new test and choose the questions
from the previous test. To do this, do the following:
- Go
to Tests/Exams
- Click
Add to create a new test. Create as normal.
- Choose
“Pick Question(s)”. Choose the subject and
highlight the first question you want. Then, choose “Add
selected question to the test.” Keep doing this
until all of the questions you want are on the test.
Issue:
Can I create a test that participants can write a free text
response for the answer?
Yes!
A participant can write a free text response instead of having
multiple choice answers to choose from. To make a free text
question type “FREE” (without quotes) in all capital
letters as the first and only answer. This is on page 106 of
the NetLearning Training Manual.

Transcript |
Issue:
A) How do I edit a transcript score? B) How do I delete/add a transcript item?
- To change the score for the participants, please do the following:
- Go to participants, click on the participant, and click Requests (in the top right hand corner). It will bring up the Participant Requests and History screen.
- Highlight the course in top screen.
- Click Edit in the top left hand corner.
- Just edit the grade and click Close.

- To Delete:
- In the participants menu, highlight Kay's name and click Requests at the top of the screen
- Click on the transcript entry and Delete it.
- To Add:
- Just go to Participants and click on the participant name
- Click Requests (in the top right hand corner)
- Click the course title (box at the bottom right hand corner) and then Add at the top of the screen.
- Put the information in and click close.
Issue:
A participant is an Instructor; however it does not show the classes they instructed on their Transcript in the Student Interface. It does, however, show this on their transcript in the Learning Administrator.
The Student Interface will never show Instructor history as this only exists in the Learning Administrator. Instructor history is for Instructor-led classes that are kept in the Learning Administrator. The Student Interface is only for online CBL classes and therefore does not have any instructor history.
